Creating a new record with a salesforce survey is a really great tool to have in your pocket!
Use cases could include creating a new lead from a survey or a new opportunity!
Extremely useful salesforce automation!
One thing to note before we get too far into the tutorial, you do need to have the feedback management license.
You also need to have surveys enabled and the salesforce surveys advanced features permission assigned to the user who will be using this function.
In the post we will show you how to enable that license and then how to setup and use surveys to create a new record.
Enable Surveys Advanced Features
The first thing you’ll need to do is head to setup.
To get there click on the gear icon in the top right corner.
When in setup search for surveys and select ‘Survey settings’.
Then you will need to toggle on surveys in order to enable it.
Once you’ve enabled surveys search again in the quick find for permission sets.
Once in the permission set create a new permission set.
This permission set will be used to assign advanced features to a user.
Once you’ve saved the initial label and description for the permission set, search for “Salesforce Surveys Advanced Features”.
Click edit and click the check box next to the “Salesforce Surveys Advanced Features” box.
Click save and confirm the changes to the permission set.
Next you will need to add assignments to this permission set, or add your users to this setting.
Click Add Assignments.
Then choose which users you would like to assign this permission set to.
Click Assign and choose if this permission set will have an expiration or not.
Once assigned, go ahead and verify that you have these advanced features ready to use!
Setup the Record Creation
The first thing you’ll need to do is navigate to surveys.
To get there go to the app launcher, search for and click on “surveys”.
Once in surveys either edit an existing survey or click new survey.
If you clicked new survey, enter the new survey details and click continue.
Next, enter in the welcome and thank you pages for the survey.
Then click add page.
Enter the page name. Typically this should be something indicative of the question you’ll be asking on that page.
In the scenario we will be asking two questions.
One the name of their company and two if they would like to purchase more products from our company.
The second question will trigger the automation to create a new opportunity.
The first question will help us gather the opportunity name, which is required to create the new opportunity.
Here we are entering in the first question.
Here is the second question.
Don’t forget to enter in a page name indicative of what the question is you are asking.
Then once you have setup the pages you would like to use in creating your new record, go to advanced settings and click on survey data mapping.
Then click new mapping.
Next enter in a name for the new mapping and select the action type of create record.
Then you’ll need to enter in the target object.
For our scenario, we are creating a new opportunity so the target object is going to be opportunity.
Next choose the condition type.
This is asking when will the new opportunity be created.
For our scenario, we only want it when a question is answered yes. So we will choose based on conditions.
Now set the conditions.
For our scenario this is when a response to a question is yes.
Next we will need to map for required fields.
This is the close date, response to the question of company name, and what stage this opportunity will be in.
If you want to map more fields to your new opportunity you can click add row.
Then choose the field and how you would like to enter in that information on the new opportunity.
Once you are satisfied with your survey and the data map.
Click save and activate!
Then go ahead and send this survey our to your testers or participants!
